Administrative Assistant

We are looking for a conscientious multi-tasker with excellent communication skills and a steady and upbeat presence. Our administrative assistant will assist our entire ten-person team, handling office tasks, communicating and coordinating via phone, mail, instant messaging, texting, and e-mail, making reservations or travel arrangements, assisting with human resource and accounting needs, and generally being helpful, positive, and resourceful.

Our administrative assistant will be professional, polite, and attentive, performing duties with alacrity and accuracy. Our assistant will strive to be prepared and responsive, willing to meet each challenge directly. Our assistant must be comfortable with computers, Microsoft office tools including Excel, human resources, and light accounting tasks, possess strong verbal and written communication skills, and, most importantly, have a genuine desire to meet the needs of others, ultimately ensuring the efficient and smooth day-to-day operation of our office.

Our Administrative Assistant will:
  • Answer, screen, and direct phone calls.
  • Greet and assist visitors.
  • Organize and maintain the firm’s contact lists.
  • Organize and maintain office common areas.
  • Order kitchen and office supplies and maintain inventory.
  • Order office equipment and software and maintain inventory.
  • Research new vendors and arrangements regarding equipment and support.
  • Maintain, organize, and use the current filing system and assess the need for improvement.
  • Manage vendor relationships that support the office and staff.
  • Maintain familiarity with human resource competence and knowledge of online platforms.
  • Support our recruiting, hiring, and termination processes.
  • Maintain familiarity with our employee benefits.
  • Communicate with brokers to renew benefit plans.
  • Communicate with employees regarding benefit plans.
  • Update and maintain office policies and procedures.
  • Manage key vendors to ensure compliance for our small firm.
  • Perform light accounting support tasks.
  • Manage the firm’s shared calendar, coordinating events and preventing conflicts as necessary.
  • Organize travel by booking flights, lodging, ground transportation, and meal reservations as required.
  • Write and distribute email, correspondence memos, letters, and forms.
  • Assist in the preparation of regularly scheduled reports.
  • Set up meetings, attend, and record takeaways and notes.
  • Assist in the preparation of presentations.

We require our Administrative Assistant to demonstrate having:
  • An Associate Degree.
  • Computer and clerical skills.
  • Confidence using Microsoft Suite.
  • Experience using human resources software.
  • Familiarity with basic bookkeeping.
  • A valid driver’s license.
